Billing & Billing Adjustments

 

When your shipment is delivered:

When your shipment is delivered, the carrier will present you will a delivery document that recaps the services provided. Be sure to check each of the items below to ensure the carriers record's are consistent with yours.

If there is a difference, it typically caused by a Freight Inspector who has weighed your shipment, has found you shipped more pieces or fewer pieces than you originally planned or possibly asked for a service not originally requested. In any case, you are signing a confirmation of delivery and acceptance of all services provided. It is best not note any issue or problem at this time on the delivery document.

To avoid a billing adjustment ensure the following are all correct on your BOL and delivery receipt.

Description of shipment is correct (class)

Services requested are all listed

If all the information is correct, the charge quoted to you will be correct. However, if your shipments weight, sizes dimensions, item description (class), or services provided prove to be different (greater) than shown, your account will be charged for "all services as actually provided".

Handling units:

Cartons or packages of identical size and weight are considered one handling unit. If there is more than one package and they are of differing type, size or weight they are considered multiple handling units.

Number of Items:

Compare the number of items shipped to your BOL or shipping records

Total Weight of All Items;

Compare the total weight of all items shipped to your BOL or shipping records

The dimensions of your shipment (Total Cubic Feet):

Compare the dimensions (cubic feet) received to that shown on your BOL or shipping records

The NMFC number:

This is a numeric indicator that specifically identifies each type of product that can be shipped by a LTL carrier. The National Motor Freight Association presets these product classifications quarterly. It is always helpful to have the NMFC number on the Bill of Lading in order to avoid re-classification and accurately identify each product you ship.

Accessorial Services & Charges

Standard procedure for LTL shipping includes a truck driver backing up to a dock to be loaded by the consignor (shipper), and driving the cargo to the receiving destination to be unloaded by the consignee. Any service that is not considered "standard procedure" will require additional fees and is referred to as an accessorial service or fee. These are all examples of accessorial services:

To avoid any "billing adjustments" do not request any of the services listed below unless you have already booked the service and it is shown on your booking papers and on your BOL. If you have any questions you may call customer services at 727-450-7800.

Arrival Notification:

A carrier notifies and schedules a delivery date and time with the consignee (receiver) for additional fees.

BOL (Bill of Lading):

Mandatory paperwork providing the driver and the truck line with all the details they need to process the shipment and bill correctly.

Blind Shipment Charge:

Keeps the originating location and receiving destination unaware of each other. Provides two separate Bills of Lading that share common BOL & PRO numbers. Both BOLs show the carrier's terminal as the shipper and the receiver.

Freight Class Rating:

A number that identifies the approximate size, value and difficulty of transporting each particular type of product. The class is needed to determine a price. You will need to know width, height, depth and weight for your shipment. The system estimates a class determined by the measurements you enter. Please contact a customer service representative during business hours to confirm class, as the automated class is only an estimate.

Expedited:

American Freight Companies offers expedited delivery through various channels in order to reduce the number of transit days. Choose expedited as your equipment type when rating your shipment.

Inside delivery & Inside pick up:

The driver is required to go inside (beyond the front door or loading dock) to pickup or deliver a load instead of remaining on the dock or in his truck. Additional fees are assessed.

Lift gate service at delivery and or pick up:

When the shipping or receiving address does not have a loading dock, manual loading or unloading is necessary. A liftgate is a platform at the back of certain trucks that can raise and lower a shipment from the ground to the truck. Additional fees apply for this service.

Residential Delivery Services and or Residential Pick Up:

The carrier defines a business as a location that opens and closes to the general public at set times each day. You may be considered a residence if you are located in a residential zone, even if you open and close at set times. Schools, colleges, and churches located in residential zones may also incur residential fees.

What happens if I receive a bill directly from a carrier?

Simply call our customer service department at 727-450-7800 and fax a copy of the bill you received. Our customer service staff will be happy to take care of it and have the charges properly credited. This situation usually occurs when the American Freight Companies  BOL is not used. To prevent future problems, please make sure that the shipper gives the driver a copy of the automated American Freight Companies BOL for every shipment. There is a reprocessing fee for not using the BOL. This fee is $50.00 so it is important that you make sure you give the driver a copy of our BOL.
